How to Track Your Monthly Subscriptions in Excel & Google Sheets

In this guide, I’ll show you how to use my Monthly Subscription Tracker Template in Excel and Google Sheets to organize your subscriptions, track due dates, and prevent unwanted auto-renewals. Plus, you’ll get a bonus data entry form in the macro-enabled Excel version to make inputting your data even easier.

📝 Step 2: Enter Your Subscription Data

Using the Macro-Enabled Excel Version

This version includes a built-in data entry form that makes adding subscriptions quick and easy!

How to Use the Data Entry Form:

1️⃣ Open the Subscription Entry tab.
2️⃣ Click the first gray cell and start typing your subscription name.
3️⃣ Tab through the fields to enter:

  • Subscription Information

  • Category (Streaming, Business, Shopping, etc.)

  • Subscription Link (optional)

  • Billing Cycle (Monthly, Annually, etc.)

  • Auto-Renew Checkbox

  • Trial Price (if applicable) & Regular Price

4️⃣ Click Submit, and your subscription is automatically added to the tracker!

💡 Tip: The sheet is protected to prevent accidental formula changes. To edit the dropdown categories, go to:
🔹 Home > Format > Unprotect Sheet
🔹 Data > Data Validation to add/remove categories

🏷 Step 3: Track & Sort Your Subscriptions

Once you’ve added your subscriptions, use these built-in Excel tools to stay organized:

Sort by Renewal Date

  • Click Data > Sort and choose Sort by Renewal Date (Oldest to Newest)

  • This ensures that the next subscription due soon appears at the top

Use Slicer Filters to View Specific Subscriptions

  • Filter by Renewal Month (e.g., see all subscriptions renewing in December)

  • Filter by Billing Cycle (e.g., show only Annual Subscriptions)

  • Filter by Auto-Renewal (see which ones renew automatically)

📌 Slicers allow you to quickly narrow down your subscriptions without affecting the main data.

🛠 Step 4: Customize & Automate in Excel

Modify Categories in the Drop-Down List

Want to add your own subscription categories?
1️⃣ Unprotect the sheet (Home > Format > Unprotect Sheet)
2️⃣ Click the Category column and go to Data > Data Validation
3️⃣ Add or remove categories in the Source field
4️⃣ Click OK and Protect the sheet again

Update the VBA Code (For Advanced Users)

If you want to modify how data is entered, here’s how the VBA code works:

  • The macro pulls data from the Subscription Entry tab and adds it to the table in the Subscription Tracker sheet when you hit Submit.

  • Be sure and watch the video tutorial at time stamp 04:30 to see how to customize or update the VBA code if needed.

🔄 Step 5: Refresh Data & Keep "Today’s Date" Updated

Keeping Formulas Updated

  • If the Today() function doesn’t update, press F9 or Function + F9

  • Alternatively, close and reopen the workbook

Updating Pivot Tables in the Analysis Tab

1️⃣ Go to the Analysis Tab
2️⃣ Right-click the pivot table
3️⃣ Select Refresh to update the charts
4️⃣ Adjust slicers to compare total spending by category or subscription

🌐 Step 6: Using the Google Sheets Version

If you prefer Google Sheets, the template has the same functionality, minus the VBA macros.

How to Enter Data in Google Sheets

  • Click inside the table and start typing a new row

  • Use drop-downs for Billing Cycle, Categories, & Auto-Renew

  • Sort and filter using Google Sheets' built-in filter tools

Editing Drop-Down Categories in Google Sheets

1️⃣ Go to Data > Data Validation
2️⃣ Select the Category column
3️⃣ Add or remove categories
4️⃣ Click Done

📌 Note: Google Sheets doesn’t support VBA, so this version does not include the automated data entry form or pivot table analysis.
